At Western, class recordings fall in the category of course content that should be saved in a secure location for three months after final grade for the course is recorded and any academic grievances have been resolved. See: WWU Retention Schedule for Teaching & Learning
Scenario: You are going to record your classes using Zoom, share those with your students, then remove access to those videos after a set amount of time.
Zoom Meeting
- Set up your Zoom meetings you will use for each class so that each class has a different Zoom meeting ID. See video about setting up recurring Zoom meetings.
Canvas Course Setup
- Go to each Canvas course you are teaching and via Settings > Navigation tab, enable Panopto Video, and save. See video about enabling Panopto Video in Canvas.
- Click on Panopto Video in the course navigation. It loads the empty folder that was just automatically generated on your Panopto account (named with the quarter and name of your course). That folder gives your students permission to view content that you put there. See video about permission basics.
- Any videos placed in that Panopto folder can be viewed by students in that class; however, you can set date range availability. See Panopto’s page on How to Publish Video Using the Availability Workflow. Availability settings can be applied to the folder to impact all videos inside it, or to each video separately.
Panopto Settings / Opting-in to Zoom
- Moving Zoom recordings into the Canvas folder for a class can be streamlined. See: Zoom: Moving Zoom Recordings to Canvas Automatically Via Panopto
Video storage on Zoom recordings is limited (see Zoom Cloud Storage Retention). By opting into the Zoom integration in Panopto, your recordings will be removed from Zoom in 30 days (unless you choose to recover them from the trash folder in that timeframe).
Panopto Settings / Retention Policy
- WWU’s retention policy for materials on Panopto is currently unlimited, but will likely become 6 years, to be consistent with the Canvas retention policy. Currently, you can change the retention policy for your Panopto recordings in your class folder (or for each video individually) to be deleted automatically after 3 years; however, setting availability dates for when the video can be viewed preserves your video while limiting access (see above).
- To apply a Panopto retention policy, hover over the video in your Panopto folder and select Settings. Go to Manage, and under Retention Policy, change the pull-down menu selection to Delete Content After 3 Years. More options for retention time frames may become available when approved.
